Position Summary:

Performs administrative and clerical work to support a manager or director and their staff. Organizes projects in order to accomplish departmental goals. Establishes and maintains effective working relationships, serves a primary contact for the department or organization when working with internal and/or external resources to meet departmental objectives. Provides logistical support and is responsible for the integration and implementation of completed assignments.

 

Moderately complex responsibilities related to primary focus of job area. Works under minimal supervision. Resolves moderately complex problems within area of responsibility. Reviews progress and evaluates results. Typically reports to a Manager or Director of the company.

 

Essential Duties & Responsibilities:

  • Develop and implement administrative procedures.
  • Assist in departmental budget coordination and provide regular status reports for management review.
  • Coordinate small to medium sized events for department.
  • Edit and compile information for PowerPoint presentations using information from spreadsheets, e-mails, PDFs, charts and other sources and support distribution as necessary.
  • Manage all meeting plans including scheduling, communication, agenda creation and all logistics that may include travel for others within the company and externally, meal orders and reservations, and car service.
  • Process and track vendor invoices.
  • Ensure compliance with company standards, processes and ethics polices in all tasks.
  • Track completion of monthly activities (timesheets, p-cards, expense reports, etc.).
  • Compile information and create various reports, letters, memos, graphs, charts, tables and presentations, report layout.
  • Respond to moderately complex situations and requests.
  • Develop plans to organize and accomplish work to meet deadlines.
  • Maintain office supply inventory.
  • Provide support to other departments and function as receptionist for the organization as needed.
  • Greet and escort visitors.
  • Answer and screen telephone calls to route to the appropriate parties.
  • Manage daily calendars for conference calls, conference rooms and appointments.
  • Send and receive faxes.
  • Make copies and distribute as requested.
  • Keep files organized and maintained.
  • Take meeting notes and distribute as requested.
  • Order and maintain supplies.
  • Open, sort and distribute incoming correspondence, including faxes and email.
  • Prepare outgoing mail.

 

Minimum Education & Experience:

  • High School Diploma or GED equivalent.
  • Five (5) years’ directly related experience.
  • Valid State Driver’s License.

 

Knowledge, Skills, Abilities:

  • General knowledge of organization operations.
  • Detailed knowledge of organizational procedures, administrative policies and procedures.
  • Ability to prepare budget reports and verify accuracy.
  • Ability to establish effective internal and external relationships at all levels with employees, vendors, and business professionals.
  • Strong interpersonal skills with the ability to interact with diverse people and personalities.
  • Intermediate written and verbal communication skills.
  • Intermediate knowledge of Microsoft Office.
  • Strong knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology.
  • Intermediate analytical and problem-solving skills.
  • Working knowledge of printers, copiers, fax machines, electronic projection equipment and teleconferencing equipment, including setup, operation and minor troubleshooting.
  • Ability to work well with others and participate in team meetings.
  • Strong attention to detail.
  • Experience answering multiple phone lines.
  • Ability to handle confidential information and material with the highest degree of professional responsibility.

 

Physical Requirements:

  • Sedentary to light work exerting up to 10 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.
  • Ability to view computer screen, sit, stand or walk for extended periods of time.
  • Ability to operate a computer, copy machine, fax machine, calculator, telephone and other miscellaneous office equipment.

 

Working Conditions:

  • Ability to produce quality work in fast paced environment with high daily pressure to meet deadlines.
  • Ability to work non-standard work hours as needed or required to meet established deadlines.
  • Ability to work indoors, in an office environment, regardless of whether cubicle, open office or private office.
  • Ability to travel occasionally to work or field locations, and/or to attend meetings or training, including overnight stays.
  • Subject to normal office noise levels.
